Checklists
Checklists let you run scheduled inspections on physical assets. You set up reusable Check templates (lists of items to inspect), then create Assignments that link a check template to a specific asset on a repeat schedule. When a check is due you complete it, and every completed run is recorded in the Check Log so you can see what passed or failed over time.
- Set up your physical assets (Tools → Assets → Assets)
- Create check templates with the items to inspect (Tools → Assets → Checks)
- Schedule a check template against an asset (Tools → Assets → Assignments)
- Record each run in the check log and review the trends
How do I create a check template?
A check template is a reusable list of inspection items.
- Go to
Tools→Assets→Checks. - Click the
Newbutton (or the create action in the toolbar). - In the editor's
Maintab:- Tick the
Activebox so the template is in use. - Enter a
Namefor the template and aDescription. ID,Username,CreatedandUpdatedare read-only and filled in for you.
- Click
Saveto keep the template.
How do I add items to a check template?
- Open the check template (see
How do I view or edit a check template?below). - In the
Maintab click theAdd Itembutton. - The
Edit check itemdialog opens. Fill in:ActiveandRequiredboxes — mark whether the item must be completed.Label— a short name for the item.Description— what to inspect.Type— how the answer is recorded (Check,Numeric,TextorChoice).Unit— the unit a numeric reading is measured in (for examplebarorpsi).MinandMax— the acceptable range for a numeric item; readings outside this range are flagged out of range.Choices— only appears for aChoiceitem; list the allowed answers separated by commas. At least one choice is required.
- Click
OKto add the item, orCancelto discard. - Double-click any item row to edit it again.
How do I view or edit a check template?
- Go to
Tools→Assets→Checks. - Select the template row and click the
Editaction, or double-click the row. - The editor opens on the
Maintab showing the template fields and its item table (Line,Label,Type,Unit,Description,ReqandActive). - The other tabs give you more detail:
Log— every completed run of this template across all assets.Trends— charts of the recorded readings over time.Assigned Assets— the assets this template is scheduled against.
- Change the fields and click
Save.
How do I create an asset?
- Go to
Tools→Assets→Assets. - Click the
Newbutton (or the create action in the toolbar). - Fill in the

How do I view or edit an asset?

- Change the fields and click
Save.
How do I print asset labels?
- Go to
Tools→Assets→Assets. - Select the asset rows you want labels for.
- Click the
Print Labelsaction. Barcode labels with the asset description and tag are printed.
How do I schedule a check against an asset?
An assignment links one check template to one asset on a repeat interval.
- Go to
Tools→Assets→Assignments. - Click the
Newaction. You can also start one from an open check template (pick the asset) or an open asset (pick the check). - In the
Scheduletab:- Tick the
Activebox. ID,Next DueandIntervalare read-only — the interval text explains the cadence (for example “Every 2 weeks on Monday and Wednesday at 09:00”).- Use the checks table to pick which template applies: select a row and click the
Select Checkbutton. - Click the
Edit Intervalbutton to set how often the check runs.
- Click
Save.
How do I set the repeat interval for an assignment?
- Open the assignment (see above) and click the
Edit Intervalbutton. - In the
Edit Intervaldialog:AmountandUnit— how manyDays,Weeks,MonthsorYearsbetween checks.- Tick the days of the week the check can fall on (for example Monday to Friday).
Time Slots— add times of day the check can be scheduled; click the add button, type a time like00:00:00and confirm, or select a slot and click the delete button.

OKto apply the interval, orCancelto keep the old one.
How do I run a check that is due?
- Go to
Tools→Assets→Checks(orAssignments). - The pending/due checks are listed. If you scan an asset's barcode tag, the system finds the checks due for that asset.
- Open the due assignment and complete each item:
- A
Checkitem is ticked off as done. - A
Numericitem records a reading; a value outside the item'sMin/Maxrange is marked out of range. - A
Textitem records text. - A
Choiceitem records one of the allowed answers. - Add any
notesfor the run.
- Submit the run to record it in the check log.
What does the check log show?
The check log records every completed run.
- Columns:
Log ID,Completed At,Status,UsernameandNotes. - Rows that are not
Passare highlighted in yellow so failures stand out. - Open it from a check template (
Logtab), an assignment (Check logtab) or an asset (Check Logtab).
What are the different check item types?
Each item in a check template records its answer in one of these ways, chosen in the Type field:
Check— a pass/fail tick boxNumeric— a number reading, checked against the item'sMinandMaxrangeText— free textChoice— pick one of the allowed answers fromChoices
What are the different check log statuses?
A completed run is recorded with one of these statuses, shown in the Status column:
Pass— the run passedFail— the run failedMissed— the run was not completed
What are the different asset statuses?
Assets have a Status, shown in the Status column and chosen in the editor:
Active— in serviceRepair— being repairedOut of Service— not in useDecommissioned— retired
What are the different interval units?
The repeat schedule uses one of these units, chosen in the Unit field of the Edit Interval dialog:

How do the checklist screens relate to each other?
Tools→Assets→Checks— create and manage check templates and their items.Tools→Assets→Assignments— link a template to an asset and set the schedule.Tools→Assets→Assets— maintain the asset register.- From an open check template you can create an assignment for any asset; from an open asset you can create an assignment for any check.
- The check log and trends are shared: the same runs appear under the template, the assignment and the asset.
What permissions do I need?
The checklist screens appear only if you have the relevant read permission. Actions are further limited by create/update/delete permissions.
